SUMMIT TIMINGS
The Summit programme will run from 11:00am on Wednesday 7 November 2007 and finish at 4:00pm on Thursday 8 November 2007 with a drinks reception and Summit dinner on Wednesday evening.


HOW TO REGISTER
Registration must be made in advance of the event. Please click on the REGISTER link to the left of this page to complete and submit your registration.


SUMMIT FEE
The Summit fee is £352.50 per person (£300 + VAT). Please note this fee does not include accommodation. Payment can be made by cheque, postal order or BACS. Debit/Credit card payments will also be accepted but will be subject to an administration charge of 3.5%.


ACCOMMODATION
The Core Cities Group, together with Experience Nottinghamshire, have made arrangements with a number of hotels in the city centre area to suit a range of budgets and requirements. HOTEL HELPDESK
A Helpdesk will be set up in the hotel foyer to offer advice and answer any queries you may have during the Summit. The desk will be staffed at the following times:

Wednesday 7 November 2007: 10:00 - 19:00
Thursday 8 November 2007:      07:30 - 10:30


BREAKOUT SESSIONS
Breakout sessions will be taking place on Thursday 8 November 2007. You will have the opportunity to attend one breakout session which must be pre-booked. Please indicate your preferred breakout sessions on your registration form.

You will be allocated your first choice wherever possible. As there are limitations on capacity within breakout rooms, all preferences will be allocated on a first come, first served basis. Should your first choice of breakout session not be available you will automatically be allocated one of your alternative choices.

TOURS
A number of different tours will be available during your stay in Nottingham. They are currently being arranged and you will be informed via email when you will be able to select your choice of tour(s).


SUMMIT DINNER DRESS CODE
Dress code for the evening reception and Summit dinner is smart-casual.


ACKNOWLEDGEMENT OF REGISTRATION
A confirmation of registration will be sent to all registered delegates within 5 working days of registration.


JOINING INSTRUCTIONS
Full joining instructions, together with travel details and location map, will be sent to all registered delegates approximately two weeks before the Summit.


REDUCING THE IMPACT OF THE SUMMIT
All reasonable steps are being taken to reduce the environmental impact of the event, using the Greening Events guidelines developed by ICLEI (Local Governments for Sustainability), of which Nottingham City Council is a member. Delegates are invited to travel by public transport where possible and to support all sustainability measures provided at the event. The greenhouse gas emissions from delegate travel and energy use at the summit venues will be offset by ICLEI on behalf of the organisers, in the interests of making this a carbon neutral event. Following the Second National Councils’ Climate Conference in Nottingham in December 2005, a low income house in Kuyasa township, Cape Town, South Africa was retrofitted with insulation, energy efficient lighting, solar water heating and shower, using offset fees from the delegates in Nottingham. Following the 2002 Johannesburg World Summit on Sustainable Development, this housing upgrade project was established as a UN approved Clean Development Mechanism project through the Kyoto Protocol.

In order for us to accurately calculate the CO2 emissions for delegate travel, we ask that you indicate your departure point in the appropriate section of the registration form. For European delegates, please indicate your main mode of transport, departure airport or train station and UK arrival airport or train station. For UK delegates, please indicate your main mode of transport and the postcode of your departure point, be it work, home or an alternative location.


DELEGATES WITH SPECIFIC REQUIREMENTS
The Core Cities Group aims to offer a fully accessible Summit. If you have any specific needs related, for example, to sight, hearing, mobility access or special diets, please tick the box on the registration form and the event organisers will contact you to ascertain your individual requirements.


CANCELLATION POLICY
In the event that you need to cancel your place at the Summit, the event organisers, Glasgows, must be informed in writing (email acceptable). Cancellations prior to Friday 12th October 2007 will be subject to a charge of 20% of the delegate fee. Later cancellations will not receive any refund. Named substitute delegates may be accepted subject to approval by Nottingham City Council. Full contact details of substitute delegates should be submitted to Glasgows at the time of cancellation.

In the event that you need to cancel your accommodation, Experience Nottinghamshire must be informed in writing (email acceptable). Please note: Subject to individual booking agreements, cancellations may incur charges.
